Who we are

Sealbuddy is a trade name of TvH Solutions, registered with the Dutch Chamber of Commerce (KvK) under number 98654594 and based at Engstraat 5, 5366 AJ Megen, the Netherlands. If you have a question about your privacy, email us at info@sealbuddy.nl.

Our role

Businesses use Sealbuddy to keep track of their customers, appointments and conversations. That gives us two roles. For our own users, and for anyone who emails us, we decide what happens with their information, so we are responsible for it. For the information a business records about its own customers, the business is responsible, and we process that information only on its behalf.

If you are a customer of such a business, the business is usually the best place to start with any questions. You are always welcome to email us as well.

What information we handle

When someone at a business gets an account, we store their name and email address so they can sign in and use the service. Inside Sealbuddy, the business then records the work it does with its customers: contacts and addresses, visits, appointments, tasks, deals, quotations and signatures. Emails and WhatsApp messages that pass through Sealbuddy are kept with the right contact, so the whole team can follow the conversation. If a business connects its phone system, we also keep its calls and recordings.

If you allow it, the app shows your position on the map. That location stays on your phone; we do not store it. To keep the service secure, we do record technical details such as IP addresses, the browser used, sign-in times and a log of changes. And if you email us, we keep your message so we can reply.

Why we may do this

We process our users’ information because we need it to deliver the service we agreed to provide. Keeping Sealbuddy secure and answering questions are legitimate interests of ours, and those are the grounds for recording technical details and keeping your emails. For information we process on behalf of a business, that business determines the legal basis.

WhatsApp and Meta

When a business connects its WhatsApp Business number, its messages travel through the WhatsApp Business Platform of Meta Platforms Ireland Ltd. We then process phone numbers, profile names, the content of messages, shared media such as photos and documents, and whether a message was delivered. We need this to show conversations in the business’s inbox and to send messages on its behalf. What Meta itself does with this information is covered by WhatsApp’s and Meta’s own terms.

Businesses may only message people who have agreed to it. If you no longer want to receive messages, reply “STOP” or block the number.

How long we keep information

We keep information for as long as the account exists. When a business cancels, we delete its information, unless the law requires us to keep something for longer, such as invoices.

Who we share information with

We never sell information. To run Sealbuddy we work with a small number of other companies, each for a specific job. Vercel and Supabase host the application and its database, and Resend sends our emails. The assistant and the AI steps in automations rely on Anthropic and OpenAI. Calendar and mailbox connections run through Pipedream, Google and Microsoft. Google Places helps find addresses and OpenFreeMap draws the maps. WhatsApp messages go through Meta, and notifications reach you through the push service of your phone or browser. When a business turns on a connection to another tool itself, such as HubSpot, WeFact or LeadDesk, we exchange information with that tool as well.

Some of these companies are based outside the European Union, mostly in the United States. For them, the safeguards in their data processing terms apply, such as standard contractual clauses or the EU-US Data Privacy Framework. If you would like a current list, just ask.

Cookies

We only use cookies the site needs to work: cookies that keep you signed in, and one that remembers which organisation you chose. Your preferences for language and for light or dark mode are stored in your own browser. We do not use tracking or advertising cookies.

Your rights

You can always ask us which information we hold about you, and ask us to correct or delete it. You can also object to the way we use it. Send your request to info@sealbuddy.nl. If your question is about information a business keeps in Sealbuddy, we pass your request on to that business and help it respond. You can read more on our data deletion page.

If you are not satisfied with how we handle your information, you can file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
